Collections and Team Access

Workflow overview

Follow these steps in ReptiDex. Controls may vary by platform.

  1. Choose a collection
  2. Invite a teammate
  3. Review access

Use Settings > Collections to review the collections available to you. A collection keeps animal and care records together for a program or team.

Active collection and team access

Choose the collection first

A collection holds its own animals, groups, breeding work, and care history. Use the collection switcher or Settings > Collections to see the collections you can access. Confirm the active collection before adding an animal or recording care. If a familiar ID is absent, switch collections and clear filters before creating a duplicate. Groups organize animals within a collection; they do not move records between collections.

Invite and manage teammates

Where your plan supports collaboration, open the collection's team controls to invite a person. Choose the role that fits the work they should perform and verify the invitation address before sending. The invited person may need to accept and sign in before appearing as active. Review roles when responsibilities change and remove access that is no longer needed. A teammate's available edit, billing, or transfer actions can differ from yours; check the role when a control is missing.

Keep shared work understandable

Agree on stable animal IDs and a consistent way to record care, especially when several people log the same type of event. Check the correct animal and collection before a bulk action. Use notes for observations and structured forms for weights, feedings, sheds, and tasks. The subscription view shows current usage and collaborator allowances. If an invite cannot be sent, review the address, role, account permissions, and plan limit. Return to the team list after a change to confirm who can access the collection.
